Who we are

Community Champions is operated by Heroes Awards Group Limited, 71–75 Shelton Street, London WC2H 9JQ. For privacy enquiries, contact hello@communitychampionsawards.com. [Before publication: confirm the company registration details and whether any additional privacy contact information is required.]

What information we collect

When you contact us, we may receive your name, email address, organisation, enquiry topic and message. If nominations, judging, bookings or payments are enabled in future, we may collect nomination evidence, nominee details, judges’ assessments, billing contact details and attendance or dietary requirements. Those future uses require an updated notice before the relevant forms go live.

Why we use it and lawful bases

We use enquiry details to respond to messages and administer legitimate awards-related enquiries, generally relying on our legitimate interests in operating the programme. Where information is needed to provide a requested service or fulfil a contract, contractual necessity may apply. We may process limited information to comply with legal obligations. Marketing emails will follow applicable PECR rules, including consent where required. We will not treat agreement to an enquiry response as automatic consent to marketing.

Who receives information

Information is accessible only to people who need it to handle the enquiry or administer the programme, and to service providers acting on our instructions (such as hosting and email providers). When nominations and judging launch, we will explain which judges or organisers may access entries and whether finalist information is made public.

Retention and security

We retain personal information only as long as reasonably necessary for its purpose and applicable legal requirements. [Before publication: set specific retention periods for enquiries, nominations, judging records, financial records and dietary information.] We use appropriate access controls and technical safeguards, but no internet service is completely risk-free.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to certain uses, or receive a portable copy. You may complain to the UK Information Commissioner’s Office (ico.org.uk). Contact hello@communitychampionsawards.com to exercise your rights.

International transfers and changes

[Before publication: identify all processors and any transfers outside the UK, and describe applicable safeguards.] We will update this notice if our services or processing activities change. Last reviewed: 22 October 2026.
